Circulation Mailer Report
Use the Circulation Mailer (Mlrcirc) report to send overdue, bill, and hold pickup notices, or any combination of the three (based on report selections). Overdue items, items held for pickup, or bills display in a compact, single-line list so that many items can be printed on a single mailer form. By default, only ACTIVE holds are selected.
This report is in the Circulation Group Reports.
The Circulation Mailer report contains the following tabs.
• | Basic Tab: Reports |
• | Bill Selection Tab |
• | Charge Selection Tab |
• | Circulation Mailer Tab |
• | Item Selection Tab |
• | Hold Selection Tab |
• | Sorting Tab |
• | User Selection Tab |
• | User Status Selection Tab |
• | Print Separate Reports for Each Library Tab |
In a circulation mailer form, notice text may be printed inside one or more layers of a form with internal carbons. The user’s and the library’s addresses display on the first visible layer of the notice form. When the user opens the next layer, optional notice text, a key to abbreviations, and a list of associated items displays. Use the Test Print of Notice Mailer report (Mlrtest) to verify mailer form alignment prior to printing this report.
The body text in the circulation mailer can be customized by your library. The body text can include up to five lines of text, with a maximum of 38 characters and spaces per line.
For example, the following is a sample of circulation mailer body text.

and/or requested items held

The Circulation Mailer report was designed to print on a particular commercial mailer, and SirsiDynix will not guarantee that it will print on any other.
On the Sorting tab, you can select to the following sort options: Group ID, User ID, User Name, and Zip Code.

If the Deletion of Items with Bills feature is enabled and an item associated with a bill has been deleted from the catalog, the author field for that item will be blank on notices created by this report.
If Generate Pipe Delimited Output is selected on the Circulation Mailer tab, the report creates a pipe-delimited file and places it in the /Rptprint directory with the naming convention of yyyymmdd_internalrptname.pipe. The report log lists the pipe-delimited report file name. This pipe-delimited file can be opened using a third-party application, such as a spreadsheet application.
The entries listed in the Brief Entries attribute of the User Address Format wizards are used to supply information for the address fields in the pipe-delimited file. The City/State field (if it is used) is evaluated as one field, not as two separate fields for the city and the state. The report will check user records for the fields listed in the Brief Entries attribute and print only the populated fields in the pipe-delimited output.
Pipe-delimited Key File
The pipe-delimited key file defines each field of the pipe-delimited file for a particular notice.
The following pipe-delimited key file defines the fields for a circulation mailer.
library name|street|line|city, state|zip code|notice text|date|user/patron ID|overdue key|pickup key|bill key|user name|street|line|city, state|zip code|1|title|author|bill amount|call number|item ID|home location|2|title|author|due date|call number|item ID|home location|price|3|title|author|(p)|call number|item ID|home location|
The following example shows a pipe-delimited key file for a circulation mailer, and the mailer output that is produced from the file.

If you are using Windows 2000, you cannot use the Plain Mailer 4 1/2” x 8” mailer style.
When the library address is included in a notice, the address is drawn from the user record with a user ID which matches the User ID attribute of the appropriate Library policy.
Only the first 14 characters of a user ID will be printed in the mailer generated by this report. User IDs longer than 14 characters will be truncated.
The full user name, including a title, is limited to 26 characters. If the full user name exceeds the 26-character limit, the user’s title, initial of the first name, and as much of the surname will print up to the 26-character limit.
