What is the On Order Title Holds feature?

In a previous version, the Demand Management feature in SirsiDynix Symphony did not support placing holds on titles with no copies available for holds, specifically titles on order. With the implementation of the On Order Title Holds feature, holds may be placed on titles based on the holding distribution segments of orderlines linked to the title. If no existing copies of the title qualify as being available for holds, SirsiDynix Symphony will check for open orderlines linked to the title. If such orderlines exist, SirsiDynix Symphony will allow a hold if any orderline has a holding distribution segment with a holding code which, when the order is received and loaded, will create a copy that qualifies for the hold. The item values specified in the holding code (such as item type, location, and library) are compared to the Demand Management policies to determine whether the on-order material is available for holds.

Holds are not filled until an item has been added, either by the Add Ordered Items to Catalog wizard, or by the Load Bibliographic Records (Bibload) report.

Only open holding distribution segments can be considered for holds. Closed distribution segments (segments that display a specific date in the Date Loaded field) are not considered.

SirsiDynix Symphony systems can be configured to use this new On Order Title Holds feature. The On Order Title Holds feature is only available for the WorkFlows Java client, and on systems using Demand Management.

What changes have been made to support this feature?

The following changes support the On Order Titles Holds feature.

Place Hold Wizard – Changes to this wizard allow holds to be placed on on-order material, even when there is no item record.
Item Search and Display Wizard, Display Item Holds Wizard, Display User Holds Wizard, and Display User Wizard – Holds displays in these wizards and in the Display Bibliographic Description Helper display holds even when there is no item.
Add Ordered Items to Catalog Wizard – Behavior property settings facilitate the trapping of holds as items are created, and the transiting of these items to fulfill holds.
Load Bibliographic Records Report – “Post loading” options provide for trapping and transiting on order title holds as records are loaded to the catalog and items that can fill these holds are created.
Link Order Holds Report – This report links on–order holds to copies. It is recommended that this report be run on a daily basis.

Can users place holds on on-order items in the e-Library?

Yes, if your SirsiDynix Symphony administrator configures the
e-Library to allow this.

In the e-Library, the environment variable ALLOW_HOLD_OPEN_ORDER controls whether or not holds can be placed on on-order items.

When the USE_HOLD_ICON and ALLOW_HOLD_OPEN_ORDER variables are set as follows, the hold icon will not display when a title has an open order and no items.

How are the Load Bibliographic Records report postload options used?

Postload holds processing can be used to identify items created by a run of the Load Bibliographic Records report that may be able to satisfy holds. It is useful when bibliographic records are being loaded in a way that adds item records to titles that already exist in the catalog, and those existing titles could have holds. This option is especially useful when a shipment of books is received from a book vendor with an accompanying file of bibliographic records with embedded item information. The resulting pick list can be used to pull items from the shipment so they can be routed quickly to satisfy holds.

The Load Bibliographic Records report contains the Postload tab with the following selections.

Identify Items with Holds – If selected, the report will check to see if any new items added by the report could fill existing holds. If so, the items will be listed as “HL_reportname” in the finished reports list. The list may be used to trap holds the same as the List Onshelf Items with Holds report. As with the List Onshelf Items with Holds report, you can select a list of locations to consider.
Holdable Locations – Allows you to specify the locations to include or exclude from consideration when new copies added by the report are checked to see if they can fill an existing hold. The Holdable Locations field becomes active only when the Identify Items With Holds check box is selected.
New Items Will Go Intransit from [Library] – Transit processing can help make it clear that newly created items are not available at their home locations. Using transit processing, shelf-ready items drop shipped to branches from a book vendor or in transit from the cataloging library can show in the catalog as intransit instead of available at their home locations. If New Items Will Go Intransit is selected, the report will place new items created by the load intransit to their owning libraries. The library to consider the “transfer from” library must be selected if you select the Transit check box.
Sorted By – Allows you to specify how the listing of items that can fill existing holds will be sorted, either by Author/Title, Call Number, Owning Library/Title/Author, or Owning Library/Call Number.

What do we need to consider before implementing this feature?

Previously, you had to create items at the point of order so that holds could be placed on on-order material. This feature now affords your library with the opportunity to abandon this “work around.” Items can be created after the material is received, while holds can be placed before the material is received. The implementation of this enhancement can positively impact the work flow through cataloging and acquisitions. Before implementing this change, it is recommended that you review your procedures for creating items and make adjustments to this process. It is also recommended that you review procedures for transiting material from technical services to the shelf. Circulation and Reference staff should be made aware of the changes to holds displays and the new procedures that may be required as a result of taking advantage of the On Order Title Holds feature.
