Prepare Notices Report

The Prepare Notices (prepnotices) report evaluates user records and collects information on holds, bills, and overdue items. It then generates the hold notices for materials available for pickup, bill notices, and overdue notices, and provides the ability to make the phone connection to users.

The Prepare Notices report should be scheduled to run daily to evaluate all of the current charges, bills, and holds, including those made available, and to remove any available holds that may have been picked up during the preceding day. By default, charges are not included if the user claims to have returned the material.

For a patron’s overdue items and fines to be selected by the Prepare Notices report, you must run the Update User Delinquency Status report first. The Update User Delinquency Status report keeps the status in user records up to date.

When Prepare Notices runs, it creates two types of records.

The communication record provides the contact information for the user and a way to organize all of the notices for a particular user. It can be compared to an envelope in a paper notice.
A notice record contains an individual pending notice. One notice record is created for each notice. Each notice record is linked to a communication record (envelope) for a particular user. Several notices can be attached to one communication record, but only one communication record will exist for a single patron. This allows one phone call to include several notices.

You may choose to create a notice record for each type (overdue, bill, or hold) for the communication record when the report is run.

A report log is printed with a count of the notice records and communication records created. Individual notice records are not printed.

When a phone notification is performed, the user’s home library is specified for the overall communication, but individual hold messages indicate the hold’s pickup library, if specified in the hold. The pickup library is set by this report, and individual hold messages are spoken in order by pickup library.

The notification is produced in the language of the user.
