FAQs: Creating Reserves for Materials That Are Not Part of the Library’s Collection

The following list contains common questions about obtaining materials that are not normally part of your collection and placing them on reserve.

If the items needed for reserve are not located in your library’s collection, you can obtain them in the following ways.

Borrow from another library within the same SirsiDynix Symphony system
Borrow from a library outside the SirsiDynix Symphony system
Obtain from the instructor, such as a personal copy

How do I borrow an item from a library within the same SirsiDynix Symphony system so I can put it on reserve?

If the copies needed for reserve are not located in your library’s collection, you can obtain them from another library within the SirsiDynix Symphony system. These items already have catalog records in the SirsiDynix Symphony system. Holds can be placed on materials owned by another library after the appropriate reserve policies and user records have been created.

The owning library charges the copy to the requesting Reserve Desk user, and puts the item in transit to the Reserve Desk’s library, that is, your library. When the copy arrives at your library, take the copy out of transit and route it to your library’s Reserve Desk. Once the copy arrives at the Reserve Desk, the Reserve Desk staff creates a reserve for the borrowed copy.

Do not set the reserve copy status to any value except ON RESERVE or NOT ON RESERVE because the item belongs to another library.

How do I place additional copies of an item on reserve?

If your library owns a copy of a title and has placed it on reserve, and then requires another copy to be placed on reserve, you can borrow the second copy from another library. The item already has a catalog record in the SirsiDynix Symphony system. You can create a second reserve control record for the borrowed copy using the item ID. The item ID distinguishes between the two copies with the same call number, and routes the borrowed copy back to its owning library when you take the item off reserve and discharge it.

When both the item ID and call number are provided, SirsiDynix Symphony gives precedence to the item ID.

How do I place copies borrowed from a library outside the SirsiDynix Symphony system on reserve?

If the item is available through interlibrary loan, that is, from a library outside the SirsiDynix Symphony system, use the Add Brief Title wizard on the Circulation toolbar to create a temporary catalog record for each copy.

In the Add Brief Title wizard properties, clear the Permanent check box to create temporary catalog records by default. Clearing the Permanent check box identifies the catalog record as a temporary record, and you can run reports later to easily identify the temporary records for removal.

Define the home location as the borrowing Reserve Desk so that the item will always be routed back to the Reserve Desk when it is discharged. Once you create the temporary catalog record, you can create a reserve for the borrowed copy.

How do I place an instructor’s personal copy of an item on reserve?

Copies can be borrowed from an instructor. You can use the Add Brief Title wizard on the Circulation toolbar to create a temporary catalog record for each item provided by the instructor.

In the Add Brief Title wizard properties, clear the Permanent check box to create temporary catalog records by default. Clearing the Permanent check box identifies the catalog record as a temporary record, and you can run reports later to easily identify the temporary records for removal. Define the home location as the borrowing Reserve Desk so that the item will always be routed back to the Reserve Desk when it is discharged. How do I circulate a borrowed copy?

The circulation procedure for a borrowed copy on reserve is the same as the circulation procedure for a reserved item belonging to your library. The borrowed copy circulates from the borrowing Reserve Desk using the standard reserve circulation wizards: Checkout, Renew Reserve, and Discharge/Checkin. Because this copy is linked with a RESERVE Type Location policy and a Reserve Desk policy, the borrowed copy is always routed back to the Reserve Desk when it is discharged. If the copy is accidentally discharged twice, the message similar to the following may appear.

How do I remove a borrowed copy from reserve when it is no longer needed?

When the Reserve Desk no longer needs the borrowed copy, use the Modify Reserve wizard to set the borrowed copy’s reserve control record status to DORMANT or RETURN, the instructor/course stage to INACTIVE, and the copy status to NOT ON RESERVE. If you have a large number of borrowed items, you can use reports to update reserve records and take items off reserve.

How do I return a borrowed item when it is no longer needed?

When borrowed items are no longer needed, you can remove the associated reserve records and discharge the items. Follow these procedures to use a report to generate a list of all of the items with temporary records that are no longer on reserve. You can use this list to remove the reserve records of the borrowed items manually. Once you remove the reserve record for an item, you can discharge it and return it to the owning library or to the instructor.

When discharging the borrowed copy, a routing message may display and tell you to put the item in transit back to the owning library. If the borrowed copy is an instructor’s personal copy, follow your library’s procedures for returning the item to the instructor.

When the owning library staff receives the item with the Receive Items in Transit wizard, a routing message displays and instructs the staff to send the copy to the appropriate location (on the shelf, to the Holds shelf, or other location). The Receive Item in Transit wizard is on the Circulation toolbar.

How do I remove temporary records that were created for borrowed items?

To remove the temporary catalog records that you created for borrowed items, use the output from the List Inventory by Item Number (Invlist) report that you generated to list the items with temporary records that are no longer on reserve (see earlier answer). You can use the list to remove the temporary records manually with the Delete Title, Call Numbers, or Items wizard (Cataloging toolbar).
