Hold Recall Report

The Hold Recall (Holdrecall) report selects checked-out items that have unavailable ACTIVE holds, and recalls the items to fill holds. The items may be recalled by the report if the items have been checked out longer than the dates defined in the Recall Loan Period in the Circulation Rule policy, and if the unavailable ACTIVE holds on the items do not have a recall status of No Recall (NO) or Recall Now (RUSH). The report sets the recall due date of selected checked-out items, and changes the recall status of the items to Recall Now (RUSH).

Although the Hold Recall report recalls charged items and sets the recall due dates, it does not produce a notice to alert the user. To generate recall notices, run the Recall Notice on Charged Items (Recallntc) report.

When items are first checked out, the due dates are set to the normal due dates according to your library’s policies. Once holds have been placed on charged items, these items can be recalled by the Hold Recall report if they have been checked out for longer than the dates defined in the Recall Loan Period in the Circulation Rule policy. Charges may be selected by library.

Holds are selected by the Hold Recall report if they are ACTIVE, and do not have a recall status of No Recall (NO) or Recall Now (RUSH). This report changes the recall status of all selected charges to Recall Now (RUSH). Holds are selected at the Copy, Title, or System level.

For Title level or System level holds, the copy that has been renewed the most number of times selected first. If multiple charged copies have been renewed the same number of times, the report selects the item which has a due date closest to, but earlier than, the report run date. If there are multiple charges for one copy, the most recent charge will be recalled if it qualifies as the most renewed or closest to due date. Once a copy is selected, a Copy level hold is placed on the specific copy. Material that is charged to the MISSING special status user ID, or has a location that is not holdable, will not be recalled.

For selected items, the date recalled, corresponding to the report run date, is then added to the charge records if the items have not already been recalled. The recall due dates of recalled items are also adjusted by this report since Copy level holds have been placed on them. Information about the charge records changed by this report is then printed in the report output.

If the library is closed on the due date to be assigned by the report, the recall due date will be changed to the next open day for the library. The recall due time will be 23:59 so the user can have the full day to return the material without a fine.

If your library allows holds on available items, this report can be run nightly after the List Onshelf Items with Holds (Pullonshelfhld) report. Recall notices are not generated for holds that could be filled with an already available item. The Hold Recall report will ignore holds that have been marked by List Onshelf Items with Holds report to indicate that an available item will be used to fill the hold, so that items are not recalled from users who currently have a copy of the material charged.

The formatted version of this report provides the information for each item on three separate pages. Every fourth page of the report begins a new sequence of items.
