FAQs: Working with Order Maps

Creating Order Maps for Smaller Libraries

Although the Order Map feature was designed with large, multi-segment orders in mind, it can also be used to facilitate processing of single copy orders.

If your library orders materials for individual users more frequently than for the library collection, a single copy Order Map with a blank user distribution default may be created. If it is the only single copy map you create, a user distribution is the default distribution display when an order line is created.

You may also create multiple single copy Order Maps. If you often order the same percent split funding, you often place orders to be distributed to a particular user from the same fund, or if the distribution of materials in your library corresponds directly to a fund (for instance, materials in the main stacks are ordered from a books fund, materials in the reference collection are ordered from a reference fund, materials in the periodicals collection are ordered from periodicals fund, and so on) you may create multiple single copy funding and distribution Order Map policies.

The single copy Order Map feature is best used only if you want to change your default option to a user distribution, or if you have more than one single copy funding and distribution that you use regularly. If your single copy orders are almost always from the same fund and distributed to the same library location, use the wizard’s default properties to set the values. Once a single copy Order Map is created, the default funding in wizard properties will never be used, although an Order Map with the values in properties may be created instead, which may then be selected from the list of multiple single copy orders.

Before Creating Large Order Maps

When creating a large order map (100+ lines), note that this wizard is subject to the Acquisitions Session Setting, Display Only Selected Segment in Viewer Pane of Segments Interface. All segments for large order maps will display in the Segment tree, but only the segment currently selected in the tree will display in the view pane. See the Session Settings Wizard: Acquisitions and Selection Lists for more information.
