Circulation Map Wizard

A Circulation Map policy is used to determine the Circulation Rule to apply when an item is checked out to a user. When the Checkout wizard is used, SirsiDynix Symphony looks at the circulation maps and finds a circulation map that contains the library from which the item is checked out, the user profile of the user the item is being checked out to, and the item type of the item being checked out. When a matching circulation map is found, SirsiDynix Symphony uses the Circulation Rule assigned to this particular map.

You can also configure Circulation Map policies to apply to more than one library or to multiple user profiles or item types; this feature may be useful for large consortia that want to use the same circulation rules for multiple libraries, or for libraries that have circulation rules very similar to one another that only differ by a single attribute (such as user profile). If you have a large number of pre-existing Circulation Map policies that can be consolidated and are interested in doing so, contact SirsiDynix Customer Support. If you only have a few Circulation Map policies to consolidate, you can make the changes to the policies manually.

If your library has chosen to group multiple item types in the same circulation map policy (so they, as a result, abide by the same circulation rule), SirsiDynix Symphony applies the "Maximum Charges" attribute to both item types separately by default. For example, if you have a circulation map policy that contains both a MAGAZINE and a DVD item type and the "Maximum Charges" attribute is set to 3 in the corresponding Circulation Rule policy, the user is allowed to check out three magazines and three DVDs as long as these checkouts do not exceed the maximum checkout limit, if one has been set in the same Circulation Rule policy. You can, however, modify this behavior and limit the number of items checked out across multiple item types using the "Maximum Charges applies to all checkouts using this circulation rule" attribute in the applicable Circulation Rule policy. Since SirsiDynix Symphony looks for matching maps from the bottom of the Circulation Map list up, the order of the map lines is important. For more information, see Policy Operations for Map Policies.

From the List Policies window, you can create, display, modify, copy, or remove the Circulation Map policies. Click Close to exit the wizard.

The Circulation Map wizard also has Library, User Profile, Item Type, and Circulation Rule search options for finding one or more map entries used to circulate or prevent circulation of an item to a user. For example, if you want to see the Circulation Rule that will be applied when checking out a BOOK item type at the MAIN library to a patron with a PUBLIC user profile, you would choose the following search options:

Library: MAIN
User Profile: PUBLIC
Item Type: BOOK
Circulation Rule: All

Then, click the Search button to see what map entry will be used.

The default search option is 'Any', which is a wildcard search that can be used with the Exact Search button to match multiple map entries.

For example, if you want to see all the Circulation Map entries associated with the PUBLIC user profile, you could choose the following search options:

- Library: Any

- User Profile: PUBLIC

- Item Type: Any

- Circulation Rule: All

Then click the Exact Search button, followed by Find Next, to see all the circulation map entries with PUBLIC specifically listed but defined with any Library or Item Type.

Attributes

The Circulation Map wizard displays the following attributes.

Name

This attribute uniquely identifies a specific Circulation Map policy. This name is ten characters or less, and may not include spaces or punctuation, except for dash (-), underscore (_), and dollar sign ($). Additionally, the pipe character (|) may not be used.

Description

This attribute provides more information about the policy and its use by the library. The description may be up to 60 characters in length. Although the Description attribute may contain spaces and punctuation, the pipe character (|) cannot be used.

Library

The Library attribute in a Circulation Map entry refers to one or more Library policy names. The circulation controls defined in each Circulation Map entry may apply to one library, multiple libraries, or to ALL. Choose the Library gadget to select Library policies. Choose the Library Policy helper (Library Wizard) to make changes to existing library policies.

Note: Depending on how your system is configured, the Library attribute will either refer to the charging library or owning library. By default, this attribute refers to the charging library.

User Profile

The User Profile attribute in a Circulation Map entry refers to one or more User Profile policy names. The circulation controls defined in each Circulation Map entry may apply to one user profile, multiple user profiles, or to ALL. Choose the User Profile gadget to select User Profile policies. Use the User Profile Policy helper (User Profile Wizard) to create new user profiles or modify existing profiles, if needed.

Item Type

The Item Type attribute in a Circulation Map entry refers to one or more Item Type policy names. The circulation controls defined in each Circulation Map entry may apply to one item type, multiple item types, or to ALL. Choose the Item Type gadget to select Item Type policies. Use the Item Type Policy helper (Item Type Wizard) to create new item types, if needed.

Circulation Rule

The Circulation Rule attribute in a Circulation Map entry refers to a Circulation Rule policy name. Each Circulation Rule refers, in turn, to a Loan Period policy and a Billing Structure policy, and specifies grace periods for overdue and recalled items. The circulation controls defined in each Circulation Map entry may apply to one Circulation Rule only. Select a Circulation Rule from the list. Use the Circulation Rule Policy helper (Circulation Rule Wizard) to create new circulation rules or modify existing rules, if needed.
