Manage Sets Wizard
SirsiDynix Symphony Collection Exchange allows libraries to efficiently create, manage, and exchange sets of items. The system helps libraries work with two distinct kinds of sets: Simple Sets and Boxed Sets. FAQs: Simple Sets and Boxed Sets
Libraries often want to keep sets together as they are exchanged between libraries. The Exchange Items Wizard allows you to choose whether or not complete sets should be exchanged.
On a system configured for Collection Exchange and Circulation Sets, this wizard will not appear on the Collection Exchange toolbar. Use the wizards in the Maintain Sets group on the Circulation toolbar.
The Manage Sets wizard allows you to do the following:

Add Set saves a new set |

Remove Entire Set removes a set from the system |

Clear clears the screen |
The Manage Sets wizard will not allow an item to be in more than one Simple Set or in more than one Boxed Set, although an item can be in both a Simple Set and a Boxed Set.
Create a Set
Before attempting to create a set, you will need to modify the item records so they will be exchangeable. For more information, see FAQs: Criteria To Determine if an Item Can Be Exchanged.
To create a set

On the Collection Exchange toolbar, click the Manage Sets wizard. |

In the Set Type field, select either Simple Set or Boxed Set from the drop-down list. |

Under Identify Item, either type or scan in the Item ID in the Item ID field. You can also use the Item Search helper to look up the item ID. You will need to have at least two Item IDs to make a set. |

As you scan in the items, they will appear in the List of Items in Set list. As you add items to the set, the Total parts in Set counter will update with the number of items in the set. |

After you have scanned in the items you want in the set, you will go to the Set ID field and type in a name for your set. |

Click Save to keep your changes and save the set. |

Click Close to exit the wizard. |
When Circulation Sets is configured, an item can be a member of only one set. In Collection Exchange, an item can belong to both a simple set (“parental” in Circulation Sets) and a boxed set. This is no longer the case once Circulation Sets is configured. See FAQs: Circulation Items in Groups for more information.
Display a Set
To display a simple set or a boxed set

On the Collection Exchange toolbar, click the Manage Sets wizard. |

In the Set Type field, select either Simple Set or Boxed Set from the drop-down list. |
Note: You must select the correct type of set or the system will not be able to locate it.

Click the Search by Set ID helper and type the Set ID. |
|

Click Get Set Information. |

The contents of the set you entered will display in the List of Items in Set window on the Manage Sets screen. Each item will be checked to designate that it is in the set. |
After you display this set, click one of the following.

Add or Remove items from the set |
|
•
|
Remove Entire Set to remove this set from the system |
|
•
|
Clear to clear this list from the screen |
|
•
|
Close to exit the wizard |
Modify a Set
You can modify a set by either adding or removing items.
To add an item to a set

On the Collection Exchange toolbar, click the Manage Sets wizard. |

In the Item ID field, either scan in a new item ID or lookup a new item using the Item Search helper. |

Click Get Item Information. |
|

|
The item will be added to the set. |
Any item you add to the set must be exchangeable. See FAQs: Criteria to Determine if an Item Can be Exchanged for more information.
To remove an item from a set

On the Collection Exchange toolbar, click the Manage Sets wizard. |
|

|
Click the Search by Set ID helper and search for the set you want to modify. |
|

|
When the set displays in the List of Items in Set window, you will notice each item has a check mark under the Add to Set column. |

Deselect the item you want to remove from the set and click Save. |
|

|
The item will be removed from the set. |
Remove a Set
To remove a set

On the Collection Exchange toolbar, click the Manage Sets wizard. |

Click the Search by Set ID helper and search for the set you want to modify. |

|
After the set information displays, click the Remove Entire Set button at the bottom of the screen. |

The following confirmation message displays: |
Set is about to be removed. Remove set?
|
5
|
Click Yes to remove the set from the system. |
|
6
|
Click No if you do not want to remove it from the system. |
