Manual Refund Helper

The Manual Refund helper is used to issue a refund for paid bills and to add a credit to the user’s credit account. For example, a user pays a lost item bill but later returns the item to the library. The library prefers to issue refunds manually, so no automatic refund is made when the lost item is checked in. By using the Manual Refund helper, you can manually refund the amount of the lost item bill and add the refund to the user’s credit account balance.

Before using the Manual Refund helper configure the helper properties to set defaults for the payment type and credit reason to be used for manual refunds. The payment type and credit reason cannot be specified during the helper workflow.

To issue a refund for one or more paid bills

A list of fully paid and partially paid bills displays for the selected user. At the top of the helper window, the Paid Bills field shows the total number of partially and fully paid bills in the paid bill list, and, in parenthesis, the amount the user owes for unpaid bills.

The refunded bill information is added to the list of refunds posted under Credit Transaction Account.

Note: If a refund could not be made for a selected bill, a dialog box displays the reason the refund was denied. If a refund had been previously refunded, credit reason, payment type, amount, and refund date display.

The following fields display information as applicable for each refunded bill listed for the user.

Refund

Contains the check box you must select to refund the individual bill. This check box is selected automatically when you select the Select All check box.

Title

Displays the title of the item associated with the bill.

Item ID

Displays the item ID of the item associated with the bill.

Reason

Displays the reason the bill was assessed.

Owes

Displays the current amount still owed for the bill. This field is a glossary that you can select to see additional bill information (such as when the bill was paid and what payment type was used to pay the bill).

Billed

Shows the amount the user was assessed when the bill was created.

Date

Displays the date the bill was created.
