Item Records

Item records represent physical objects in the library’s collection. Each item record in the database and each item on the shelf are marked with a unique identifier that links them together. The item database contains information about the library’s inventory, the relationship of each item to its family of call numbers and titles, and any links between items and users.

Each item must have a unique identifier, called the item ID. In many libraries, the item ID is a barcode number or an accession number. Some libraries use a shelving number (call number) and copy number instead of a barcode or accession number. The library can instruct SirsiDynix Symphony to assign a unique item ID to each item automatically when the item is added to the catalog, or the library can enter the library’s unique identifier.

Each item must be assigned an Item Type. The Item Type assigned to each item determines certain characteristics, such as how the item circulates to different users. The Item Type also identifies the item as a member of a specific material type. Item Types are created by the system administrator with the Item Type policy. Common Item Types include BOOK, VIDEO, and PERIODICAL.

Each item must have a home location and current location. The home location is the item’s permanent location—where the item is supposed to be when not circulating. The current location shows where the item is as the result of circulation activity. Current locations might include CHECKEDOUT, RESERVE, and HOLDS. SirsiDynix Symphony updates the current location when items are checked out, checked in, put on hold, put in transit, or sent to a reserve collection. Locations are created by the system administrator with the Location policy.

Optional item statistical fields in the item record can be used to categorize items. These might be used to note a funding source, reading level, fiction/nonfiction category, or an academic department. Other fields indicate permanence, circulation permission, and price. SirsiDynix Symphony maintains other item fields, such as:

Date the item was created.
ID of the user who last charged out the item.
Date the item last circulated.
Item’s associated title and a call number.
Total checkouts
Total renewals
Interval checkouts (daily, weekly, or monthly)
Interval renewals (daily, weekly, or monthly)

All of these fields can be counted or listed.
