FAQs: Scheduling New Reports
Most reports can be created and scheduled without making changes, or by providing only one or two required fields. However, variations in selection and output options can often produce a wide range of report results. Each tab in a new or template report displays the information available to be edited.

What is a template report?
A template report is a SirsiDynix-delivered report that has been modified and/or saved to the Templates tab by members of your library staff.
You may choose to save a report as a template under the following circumstances.

If you might run this report one or more times in the future, but you do not want it to run automatically at a specified date and time. |
|
•
|
If you want to run a series of very similar reports changing only one or two selections or output options at a time. |
The Templates tab in the Schedule New Reports wizard displays a the list of reports that have been customized and/or saved as a template.
How do I save a report as a template to be used later?
To customize a report and save it as a template report

Click the Schedule New Reports wizard. |

Select the tab of the report group containing the report you want to configure. |

Under Report Name, select a report, and click Setup & Schedule. |
|

In the Schedule [Report Name] window, select each of the displayed tabs, and configure the report options to customize the information produced by the report. |

Click Save As Template. The Report is saved as a template message appears. |

Click OK to close the message window. The report will be available for selection from the Templates tab in the Display Reports window each time you start the Schedule New Reports wizard. |
What is the meaning of each of the columns on the Templates tab?
The reports that have been customized and saved as a template report display on the Templates tab. The following columns display on the tab.

Report Name displays the name assigned to the report by the library staff who scheduled the report, or is the SirsiDynix Symphony default brief descriptive title of the report. |
Note: Do not use the $, [, ], &, *, >, and < characters when naming a report. If you use any of these characters in a report name, the report will not run.

Owner shows the user ID that usually identifies the user who originally scheduled the report. This column only displays to the system administrator level of user because other users only see their own reports. If the system administrator changes the owner of a report, the new owner will display in this column. |

Date Created displays the date on which the report was saved as a template report. |
How do I schedule a report to run once a year?
To schedule a report to run once a year

Use the Schedule New Report wizard to begin creating a new report, or use the Scheduled Reports wizard to modify a scheduled report. When you have made your report selections, click Schedule to display the Schedule window. |

Under Schedule, click Daily. |

Under Start Running On, select the date and time on which the report will run for the first time. |

Under Interval Days, type 365 in the Every ___ Days box. |

On the scheduling confirmation window, click Close. |
What does the Run Now option do?
The Run Now option schedules the report to run as soon as possible without allowing you to select or change any scheduling or printing/distribution options. The following message immediately appears when you select this option:
Report is scheduled
This option is useful if you are creating a report and wish to use all of the default selections for the report, or if you are making modifications to an existing scheduled report. For scheduled reports, the Run Now option allows you to make changes to the report selections without having to reschedule the report.
The Run Now option in template reports will not automatically send email notices, even if this is configured in Report Session Settings.
What does this type of message mean when I try to schedule a report?
Occasionally, report selections and output will contain values that cannot be modified, but must display in order to set the value default. If you attempt to modify one of these fields, and then schedule the report, the following type of message appears.

One place that this type of message will commonly display is in the Library field of an acquisitions selection. Selection of a particular library’s orders, funds, invoices, and vendors can only be accomplished if the user scheduling the report has the same station library as the acquisitions records being selected. The default Library that displays in most acquisitions reports cannot be modified. If the staff attempts to modify the library, the message displays and the either the default library must be restored, or the user must log in using another station library login.
Another place that this message displays is when acquisitions notices are being printed, and the Order ID Notice Output Option for Type of Notice is modified. The Order ID Notice is used by multiple notice reports including purchase order and cancellation notices. However, the selection that displays for any of the reports that use the Order ID Notice is the only valid selection. If the staff attempts to modify the type of notice, the message displays and the default type of notice must be restored.
How do I schedule a report to print call number and item information without title information?
In order to print call number and item information without title information, select the following on the Print Item tab.

For Title Information, select None. |

For Item Information, select No Copy Information and Circulation Summary. |
