Serial Control Claim Reason Wizard
The Serial Control Claim Reason policy is used in checkin records to describe why a serial issue is being claimed. Each Claim Reason policy defines a name, a type, a numeric code, and a line of text to be inserted in the claim notice text.
From the List Policies window, you can create, display, modify, copy, or remove the Serial Control Claim Reason policies. Click Close to exit the wizard.
Attributes
The Serial Control Claim Reason policy contains the following attributes.
• | Name |
• | Description |
• | Type |
• | Code |
• | Text |
The Name attribute uniquely identifies this policy. This name is ten characters or less, and may not include spaces or punctuation, except for dash (-), underscore (_), and dollar sign ($). Additionally, the pipe character (|) may not be used. To enter claim reason values, either run the Prediction as Late report when insufficient copies are received, or use the Modify a Serial Control wizard and type a value in the Claim Reason box. If you are accustomed to numbering claim reasons rather than naming them, a number may be used instead of a name. The claim reason name is not included in the claim notice, but the Claim Reason policy defines what text, if any, should be included in the notice.
This attribute provides more information about the policy and its use by the library. The description may be up to 60 characters in length. Although the Description attribute may contain spaces and punctuation, the pipe character (|) cannot be used.
There are four types of claim reasons: Normal, Late Issue, Insufficient Copies Received, Do Not Claim. Click one of these reasons.
• | Do Not Claim — Claim segments with this claim type are not considered when claim notices are generated. |
• | Insufficient Copies Received — When using the Receive Order command, a claim segment is automatically added to a line item’s segments if the number of copies or list of parts received is less than those expected. SirsiDynix Symphony references the Claim Reason policy to find the first claim reason with type Insufficient Copies Received, and uses that policy name in the claim segment Claim Reason field. With the Edit Order command, you can insert, remove, or modify the claim segment, including changing this default to any other appropriate claim reason. |
• | Late Issue — If an entire line item is not received (no copies or parts received at all), then the line item record should be updated with a claim segment before claim notice generation can take place. The Vendor Acquisition Claim report, if run regularly, finds order line items that have passed the order’s date to claim and generates claim notices to vendors. This report references the Serial Control Claim Reason policy, finds the first claim reason with type Late Issue, and puts that policy name in the claim segment Claim Reason field for that line item. |
• | Normal — Any claim created by a library staff member may use a Claim Reason policy with the claim type Normal. Policies with this type are included in claim notice generation if all other criteria are met. Claim reasons with type Insufficient Copies Received and Late Issue are treated as if they were Normal when claim notice generation takes place. |
This claim numeric or alphanumeric code is used in electronic claiming by serials vendors and indicates why an issue is being claimed. Claim reasons with the type Do Not Claim do not require a code.
This attribute describes the claim reason as fully as possible. This text becomes part of the claim notice. Unless the claim reason type is Do Not Claim, the Text field is required.
Serial Control Claim Reason Policies for EDI
The SISAC provides the following standard code list to be used in X12 claim transactions.
• | OSI00 – Item(s) not received |
• | OSI10 – Incorrect time supplied |
• | OSI11 – Item damaged in transit |
• | OSI12 – Imperfect item supplied |
• | OSI13 – Too many copies of item supplied |
• | OSI19 – Other |
The Serial Control Claim Reason policy reflects these code values. If additional claim reasons have been added to the standard code list, modify the code associated with the claim reason to reflect one of the SISAC standard codes.
