Configure Checking Previous User ID When User ID Is Not Found Policy

The Configure Checking Previous User ID When User ID Is Not Found policy is a Global Configuration policy that is read by the WorkFlows client at startup and stored as a global variable. When a user ID is modified, the “old” ID is moved to the Previous User ID field. Up to two previous user IDs are maintained for a user. The previous user IDs are contained in separate indexes from the user IDs (previous user ID 1 and previous user ID 2 indexes).

When you search a user ID, if the ID matches a previous user ID, the user record with the matching previous ID will be displayed. When this policy is configured, the circulation wizards will first check the index that contains the user IDs, but if the ID is not found, will continue the search in the indexes that contain previous user IDs.

SirsiDynix Symphony will also check the previous user ID indexes when a user ID is modified and when a user’s card is marked lost. This checking is performed to prevent duplicate previous IDs in the system, and to prevent a user ID from matching an existing previous ID.

If for some reason there are two previous user IDs in the system that are duplicates, WorkFlows will display a message indicating the ID matched multiple previous IDs in the system. If this is the case, you will need to search for the user in the User Search helper.

SirsiDynix Symphony will also check for active or inactive when users have multiple User IDs.

The Configure Checking Previous User ID When User ID Is Not Found policy appears on the User Information tab of the Global Configuration wizard. The default value for this policy appears in the Select a Policy window. To modify this value, select Configure Checking Previous User ID When User ID Is Not Found and click Modify. Click a radio button to select one of the policy attributes. Click Save to save your selection. The default is Do Not Check Previous User ID When User ID Is Not Found.

Do Not Check Previous User ID When User ID Is Not Found

Select this attribute to maintain the original user ID search functionality. If the user scans a previous user ID in a circulation wizard, and the ID is not found, the wizard will display a “user not found” message and will not perform the additional step of searching the index that contains previous user IDs.

Check Previous User ID When User ID Is Not Found

Select this attribute to configure the previous user ID search. If the user scans a previous user ID in a circulation wizard, and the ID is not found, the wizard will perform the additional step of searching the index that contains previous user IDs. The wizard will search up to two previous user IDs for that user. If the wizard finds the user record by a previous user ID search, the message “User record found by previous ID” appears.

Check Active, Inactive & Previous ID When User ID Is Not Found

Select this attribute to search active, inactive, or previous user IDs. If the user scans a user ID in a circulation wizard, and the ID is not found, the wizard will perform the additional step of searching the index that contains active, inactive, or previous user IDs.

Active IDs can be used to identify a user. Once identified, the Primary User ID is displayed for the user record.
Inactive IDs cannot be used to identify a user, except when modifying a user.
The wizard will search up to two previous user IDs for that user.
