My Exchange State Wizard

The My Exchange State Wizard enables branch libraries to monitor the progress of an HQ-moderated exchange. Because the branch library will not typically activate the HQ or scan its own items, a display wizard is necessary for a branch to monitor the counters, particularly with the number of items to return.

To monitor the progress of an HQ-moderated exchange

On the Collection Exchange toolbar, click the My Exchange State wizard. The My Exchange State selection window displays with the Select Exchange Library field containing a drop-down list of Exchange Libraries.

Select an Exchange Library from the drop-down list and click OK. The following information displays for the selected library.

Exchange Library - Lists the library or libraries that have activated the selected library.

This Exchange - Lists the number of items the selected library should receive in each exchange according to its profile. This counter is static throughout an exchange, with the numbers changing only when the exchange is closed and reactivated.

Items to Send - This is the remaining number of items the station library should return in this exchange. Please refer to Calculating the Number of Items to Exchange or Return for more information.

Reciprocal Exchange - The number of items that the selected library owes the source library due to previous reciprocal exchanges. In an HQ-moderated work flow, the branch has not returned the items through the Exchange Items Wizard. They are simply shipped and the HQ scans them. This number, therefore, will reflect the number of items returned by the branch that the HQ has scanned. Regardless of whether or not the items stay at the HQ or goes on to a new library, the Reciprocal Exchange counter in My Exchange State should decrease.

Pending Shipping - The number of pending shipping items from the selected library. This will only show a number if the selected library has activated the source library and is actively exchanging items. In an HQ-moderated exchange, this number will usually be zero.

Already Shipped - The number of items that have been shipped and returned to the source library. In an HQ-moderated work flow, the branch has not necessarily returned the items through the exchange items wizard. They are simply shipped and the HQ scans them. This number, therefore, will reflect the number of items returned by the branch that the HQ has scanned. Regardless of whether or not the items stay at the HQ or goes on to a new library, the Already Shipped counter in My Exchange State should increment. If the branch does choose to activate the HQ and exchange items back to it, this number will increment after the HQ receives the items either in transit or when the items have a status of Home.

To view or print your exchange state, click the Save My Exchange State to a File Helper. The exchange state will display in an Excel spreadsheet.

Click Close to close the window.
